Emporia State University is seeking highly qualified candidates for the position of an Administrative Specialist. The administrative assistant position at Emporia State University is a 12-month, hourly administrative position located in Emporia, Kansas.


The administrative assistant reports to the executive associate of The School of Library and Information Management (SLIM) and the executive associate of The Teachers College (TTC).

RESPONSIBILITIES:

Responsibilities will include part-time in SLIM and part-time in TTC.

SLIM duties may include:

  • Front Office Duties – Answer phones, greet visitors, make copies, file documents, monitor supplies.
  • Initiate Forms – Invoices, Purchase Requisitions, Facilities Service Requests, Key Requests, After Hours Permit, Alcohol Request, & Official Hospitality.
  • Assist the Executive Associate with Events – Summer Camps, Workshops, Awards Ceremonies.
  • Computer Lab Manager and unlocking of school/classroom doors.
  • Complete requests for reservations for event spaces, scheduling, tech, photography, and ordering food through campus requests.
  • Respond to initial program inquiries and program/school emails.
  • Other duties and tasks as assigned by the executive associate and/or Dean to maintain operations within the school while adhering to policies and procedures of the university

 

Teachers College duties may include:

  • Answer/screen/route calls, greet visitors, make copies, file documents, monitor and order supplies
  • Assist with facilitation of assessments within The Teachers College
  • Data entry through OnBase
  • Building and room scheduling
  • Duties supporting elementary and secondary education
  • Assist with course schedules for fall, spring, summer—coordinate three on-site locations for courses as well as serve as liaison for graduate course scheduling
  • Other duties and tasks as assigned by the executive associate and/or Dean to maintain operations within the college while adhering to policies and procedures of the university

QUALIFICATIONS:

Minimum Qualifications

  • High School diploma or equivalent and four years of experience as an office or administrative support position
  • Demonstrate initiative and sound judgement in prioritizing tasks and dealing with concerns
  • Excellent communication skills both written and verbal for daily interactions with faculty, students, and staff
  • Collaborative individual with good organizational skills.
  • Additional education may substitute for experience
  • Evidence of technology skills including Microsoft Office, Excel, and other digital systems


COMPENSATION:

  • Salary:  $16.68 - $20.43 hourly
  • Qualifications and previous experience will be considered for placement of base rank and salary.
