The Legal Assistant and Contracts Officer provides high-level administrative, operational, and contract management support to the Office of the General Counsel and the Office of the Executive Vice President for Operations. The position serves as a central coordination point for financial processing, contract workflow management, policy administration, compliance requests, and executive scheduling. This role requires strong organizational skills, attention to detail, discretion with confidential information, and the ability to manage multiple workflows that support legal, financial, and administrative functions of the University.

RESPONSIBILITIES:

  • Administrative and Executive Support
  • Provide administrative support to the General Counsel and Executive Vice President for Operations, including scheduling meetings and coordinating calendars.
  • Assist other executive suite members with scheduling and administrative needs as requested.
  • Schedule and coordinate use of the President’s Conference Room and provide meeting support as needed.
  • Maintain birthday and recognition lists for the Operations team and coordinate with appropriate staff for cards and acknowledgements.
  • Coordinate hospitality activities and other administrative support for the executive suite.
  • Assist with event coordination and planning for University initiatives and activities.
  • Contract Management and Legal Support
  • Serve as the primary coordinator for the University’s contract workflow process, including intake, tracking, routing, and maintaining records of contracts.
  • Conduct preliminary review of contracts to ensure completeness and proper documentation prior to legal review.
  • Maintain contract files and assist with organization of contract records.
  • Coordinate with internal departments and external parties regarding contract documentation and status updates.
  • Manage outside counsel administrative needs, including facilitating access to electronic folders, documents, and supporting materials.
  • Policy Administration
  • Coordinate the workflow process for updates and revisions to the University Policy Manual (UPM).
  • Track proposed policy updates and assist with routing and approvals.
  • Maintain records of policy revisions and associated documentation.
  • Financial and Budget Administration
  • Process and manage financial transactions through OnBase, including invoices, travel documentation, Form Cs, purchase requisitions, and related financial workflows.
  • Maintain and update budget spreadsheets for State General Fund (SGF) and Foundation accounts.
  • Assist in preparing the Zero-Based Budget (ZBB) for the Office of General Counsel and provide support for other suite budgets as needed.
  • Process Foundation reimbursement check requisitions.
  • Coordinate deposits related to Kansas Open Records Act (KORA) requests and other incoming payments such as restitution checks.
  • Compliance and Records Management
  • Coordinate and track responses to Kansas Open Records Act (KORA) requests.
  • Assist with maintaining documentation and records related to compliance activities.
  • Prepare and maintain notes and documentation related to Kansas Board of Regents meetings, including SCOPS and COPS materials.
  • Access, Systems, and Operational Support
  • Manage administrative tasks related to facility access systems, including Gallagher card swipe access and related command center functions for Plumb Hall and Breidenthal.
  • Submit and manage Z-link requests and other system requests for operational needs in Plumb Hall.
  • Maintain and manage shared electronic folders and document storage systems.
  • Additional Responsibilities
  • Serve as a commissioned notary public for University-related documents.
  • Provide administrative support for miscellaneous operational tasks as assigned.
  • Perform other duties as assigned in support of the Office of the General Counsel and executive leadership.

QUALIFICATIONS:

Minimum Qualifications:

  • Bachelor's Degree or 4 years of related experience in lieu of degree


Preferred Qualifications:

  • Demonstrated experience in administrative support, contract administration, financial processing, or office management.
  • Strong organizational skills with the ability to manage multiple workflows and deadlines.
  • High level of attention to detail and accuracy.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Proficiency with Microsoft Office applications, including Excel and Word.
  • Strong written and verbal communication skills.

COMPENSATION:

Compensation will be negotiable based upon education & experience
