The Emporia State University Alumni Association and Foundation is seeking a Communications Coordinator to help keep a high-volume communication operation organized, accurate and moving forward.


This role is ideal for someone who is highly organized, detail-oriented, comfortable with digital tools, and interested in supporting communications across email, web, social media, events, fundraising, stewardship, alumni engagement and storytelling.

RESPONSIBILITIES:

Coordinate communication projects

  • You will help keep communication projects organized from request through deployment.
  • Includes: Managing communications request intake, Maintaining the project tracker, Gathering project details from internal partners, Confirming deadlines, deliverables, audiences, links, images, approvals and calls to action Tracking due dates, project status, missing information, approvals and next steps


Support email, web, social and print production

  • You will help produce and schedule approved communications across multiple channels.
  • Includes: Building emails from approved copy, Scheduling approved emails and social media posts, Testing links, formatting, images, subject lines, preview text and calls to action, Making routine website updates, Adding event listings and updating landing pages, Uploading images, forms, links, event details and giving links
  • Coordinating production details with outside print designers, vendors and campus partners
  • Preparing basic digital graphics or adapting approved templates when appropriate


Maintain communication calendars

  • You will help maintain the team’s master communication calendar and social media calendar.
  • Includes: Tracking key advancement dates, events, campaigns, giving pushes, reunions, volunteer deadlines, board meetings, internal communications and publication deadlines, Updating email, web, social, print, event, campaign, stewardship, planned giving and Spotlight magazine timelines, Helping identify scheduling conflicts, gaps, overload periods and missing information, Supporting calendar review meetings and planning discussions


Support social media operations

  • You will support day-to-day social media operations for assigned alumni and foundation channels.
  • Includes: Maintaining the social media calendar, Drafting and scheduling approved posts, Monitoring comments and messages, escalating questions or sensitive issues as needed, Capturing event content, Tracking basic engagement metrics and trends, Helping identify social content opportunities, Sourcing photos, alumni stories, event recaps, user-generated content and social-first storytelling ideas


Capture and organize photo, video and digital assets

  • You will help support visual storytelling for alumni, donor, event, stewardship and campaign communications.
  • Includes: Taking quality event photos, Capturing simple vertical video, Recording short alumni, student, donor or event clips when appropriate, Editing basic social videos or short-form recap content, Helping create reels or short-form social content, Organizing photo and video libraries, Coordinating with university photography when available, Helping prepare shot lists for events or storytelling opportunities, Maintaining campaign, event and story-related assets


*This role is not expected to be a professional photographer, videographer, or graphic designer, but comfortable with basic digital content creation is important.


Support campus partner communications

  • You will help campus partners submit complete communications requests and keep smaller projects moving.
  • Includes: Sending partners the communications intake form, Confirming required information, Routing giving page or related requests to appropriate teams, Checking whether operations, finance, data, web or other approvals may be needed, Tracking deadlines and missing information, Adding approved items to social, newsletter, web or communications calendars, Maintaining checklists for campus partners’ giving or engagement efforts 

QUALIFICATIONS:

Minimum Qualifications:

  • Bachelor's Degree in Communication, Marketing, Public Relations, English, or a related field; or 4 years of related experience in lieu of degree
  • Strong organizational and project coordination skills, with the ability to manage multiple projects, deadlines, details and priorities simultaneously.
  • Excellent interpersonal and communication skills, with the ability to communicate clearly and professionally with colleagues, project partners, and internal stakeholders.
  • Strong basic writing, editing and proofreading skills, with the ability to draft clear short-form content for social media, email, web and newsletters.
  • Ability to work collaboratively in a fast-paced, high-volume communications environment
  • Experience using or ability to quickly learn digital communications platforms, including email marketing tools and event registration, landing page or giving page creation tools.
  • Familiarity with project management tools, CRM systems or fundraising environments preferred
  • Flexible schedule, including some evenings and weekends


Preferred Qualifications:

  • Experience drafting short-form content for social media, email, web, newsletters or event promotion
  • Basic photography, video or digital content creation experience
  • Experience maintaining calendars, trackers, checklists, shared files or documentation systems tools 

COMPENSATION:

Annual Salary: $50,000 - $55,000 depending on qualifications.
