Emporia State University is seeking a highly organized, detail-oriented, and collaborative professional to serve as an Executive Associate within the School of Visual and Performing Arts. This position provides specialized administrative support to the Dean and serves as a key liaison between the School, university offices, faculty, staff, and students. The Executive Associate plays a critical role in supporting daily operations, managing personnel and budget processes, coordinating searches and hiring activities, and ensuring the efficient administration of the School.
RESPONSIBILITIES:
- Provide administrative support to the Dean and manage the daily operations of the School office.
- Coordinate faculty, graduate assistant, and student assistant employment processes, including contracts, onboarding, hiring documentation, and personnel actions.
- Serve as the School's liaison for Human Resources and Payroll functions.
- Coordinate faculty and staff searches, including required hiring documentation, background checks, and onboarding activities.
- Assist in the development and management of the School's budget and monitor expenditures to ensure responsible fiscal stewardship.
- Process purchasing transactions and ensure compliance with university procurement policies and procedures.
- Maintain personnel, payroll, travel, financial, and administrative records.
- Facilitate scheduling and coordination of school activities, events, meetings, and special projects.
- Manage the Dean's calendar and coordinate communications with internal and external stakeholders.
- Assist with supervision, training, and evaluation activities for assigned personnel.
QUALIFICATIONS:
A successful candidate must possess a bachelor's degree in business administration or a related field. Equivalent years of professional experience in an administrative setting may be substituted for the educational requirement.
Candidates should demonstrate:
- Strong organizational and project management skills.
- Attention to detail and the ability to manage multiple priorities.
- Excellent communication and customer service skills.
- Experience working with budgets, payroll, personnel processes, and administrative operations.
- The ability to handle confidential information with professionalism and discretion.
PREFERRED QUALIFICATIONS
- Experience working in higher education.
- Experience with budget management and university purchasing processes.
- Experience supporting executive-level administrators.
- Knowledge of HR, payroll, and employment processes.(Derived from position duties.)
COMPENSATION:
Compensation will be negotiable based upon education & experience
